Temporary Office Administrator
Glass Doctor of North Texas is hiring a Temporary Office Administrator to cover our main office while our office manager is on leave. The office runs on checklists, deadlines and fast turnarounds. If you like a busy day with lots of variety, and you get a real sense of satisfaction from getting every detail right, this role is for you.
No two days look the same. One hour you're depositing checks, the next you're getting a technician into a spare van, setting up a new hire's iPad, or getting the meeting room ready for 30 people. You won't be making it up as you go: every core process is already written down in our ClickUp instructions, and you'll have a team to back you up.
What you'll do
Payments and bookkeeping support
- Scan and deposit customer checks daily, and work through the payments-from-the-field list until every payment is accounted for
- Manage petty cash: pay out meeting and review money, keep a clear log, and reconcile it with our outside bookkeeping team
- Enter and code credit card receipts in QuickBooks
Fleet coordination (our service vans and trucks)
- Keep driver and vehicle assignments current in our fleet tracking systems
- Move vehicles through our intake and disposal checklists: insurance, plates, toll tags, fuel cards, tracking devices
- Schedule repairs, recalls, tows and body shop visits with our fleet partners and shop team
Onboarding, equipment and IT first response
- Work through the new-hire and termination checklists: set up iPads and laptops, assign equipment, collect returns
- Keep our asset inventory (iPads, laptops, uniforms) accurate in Asset Panda
- Be the first call for everyday tech issues like wifi, iPads and logins, and escalate to IT when needed
Office and team operations
- Prep the weekly retail and specialist meetings: build the slide deck, set up the room, have payouts ready
- Order supplies and uniforms, and keep the office, breakroom and showroom stocked and in order
- Coordinate vendors for printers, alarms, internet and building maintenance across our five DFW locations
- Greet showroom walk-ins and help with customer pickups
You'll do well here if you
- Like a fast pace. You're happy juggling a dozen things at once and switching between them all day.
- Sweat the details. Numbers have to match, checklists get finished, and loose ends bother you until they're closed.
- Do things the right way. Give you a clear process and you'll follow it consistently, then tell us where it could be better.
- Own your deadlines. Deposits go in on time, the meeting room is ready on time, and new hires have their equipment on day one.
- Can talk with anyone. In one day you might work with technicians, managers, vendors and walk-in customers.
Experience we're looking for
- Ideally 2+ years in office management, office administration or operations support (preferred, not required)
- Comfortable with bookkeeping basics: deposits, petty cash and receipts (QuickBooks is a plus)
- Comfortable with technology: Microsoft 365, iPads, and picking up new software quickly (we use ClickUp, ServiceTitan and Asset Panda)
- Fleet or vehicle coordination experience is a plus
- Valid driver's license and reliable transportation for occasional bank and errand runs
Physical and driving requirements
- Drive company and personal vehicles for bank runs, errands, and moving vehicles between locations
- Lift and carry up to [30] lbs (supplies, uniforms, equipment)
- Move around the office, shop and showroom throughout the day
Details
- $17–$26 per hour, based on experience hourly
- 1–2 weeks of overlap training before the leave begins
- Length of term is approximately 12 weeks and with the possibility of extension
- Schedule is Monday-Friday 7:30a-4:30p, but we work until the job is complete
